Eventrium SRL Regulation on the Processing of Personal Data

Through the services it provides, Eventrium SRL processes personal data exclusively for the purpose of delivering the services contracted in accordance with its field of activity and its contractual relationship with each partner. In this respect, and pursuant to Regulation (EU) 2016/679, Eventrium SRL is committed to complying with all applicable Romanian and European legislation concerning the protection and processing of personal data.

To this end, Eventrium SRL has adopted this Regulation on the Processing of Personal Data, informing its partners, beneficiaries and employees that it is committed to maintaining the strict confidentiality of all personal information collected and will not disclose such information except to employees and contractors who require access to it in order to provide the contracted services.

Eventrium SRL will not disclose, transmit or otherwise make personal information available to third parties unless such disclosure or transfer has been authorized by the consent of the individuals whose data is being processed.

By implementing the necessary operational, technical and organizational measures to protect personal information against accidental or unlawful destruction, alteration, disclosure or unauthorized access, Eventrium SRL ensures the security of such data and seeks to minimize risks resulting from the disclosure of personal information.

Eventrium SRL regularly monitors the effectiveness of its personal data protection and security standards, continuously assessing and adapting to potential risks that could affect the integrity, security or confidentiality of personal information. The Company also ensures compliance with its security procedures by its employees and contractors.

Data Collection

For the purpose of collecting personal data, Eventrium SRL designates authorized users responsible for collecting, entering and storing personal data within its information systems.

Any modification of personal data may only be performed by authorized users designated by Eventrium SRL.

Data Storage

Eventrium SRL will retain personal data only for the period necessary to fulfil the purpose of the processing and will use such data solely for the purpose for which it was collected.

Upon expiry of the applicable retention period, personal data will be deleted, destroyed or may be anonymized where it can subsequently be used for statistical or scientific purposes.

Access to Personal Data

Access to personal data stored within the information system is restricted and permitted only to persons holding authorized access credentials.

Eventrium SRL secures access to its operating systems and restricts remote access to and from its systems. Where remote access is necessary, it is subject to strict access controls, approvals and regular monitoring of logins and operations performed.

Staff Training

As part of its user training programmes, Eventrium SRL informs authorized users about the provisions of Regulation (EU) 2016/679, the minimum security requirements applicable to personal data processing and the risks associated with such processing, depending on the specific nature of each user’s activities.

Eventrium SRL users who have access to personal data are trained regarding the confidentiality of such data and are required to maintain its confidentiality.

Under Regulation (EU) 2016/679, data subjects have the right of access and rectification, the right to object to processing, the right to request the transfer of their data to other organizations, and the right to request the deletion of collected data.

Eventrium SRL remains informed of the applicable legal requirements regarding the processing of personal information and ensures that its processing activities comply with current privacy and security laws and regulations.

Personal Data Collected Through Websites

Eventrium SRL collects information from users in the following ways: directly from users, through traffic reports generated by the servers hosting Eventrium websites, and through cookies.

Information provided directly by the user: When applicants use a service provided by Eventrium SRL, they may be asked to provide their name, email address and other personal information.

Information collected through server traffic reports: When an applicant visits a website, certain information is automatically disclosed, such as the IP address, time of visit and the source from which the Eventrium website was accessed. Like other website operators, Eventrium records this information.

Information collected through cookies: Eventrium SRL may use cookies to provide users with a more personalized experience and to store and track their preferences. Cookies may, for example, be used to recognize applicants and provide information and services based on preferences expressed during previous visits.

Third-party online advertising networks may also use cookies to tailor advertising messages according to users’ preferences. Cookies are “.txt” files provided to your browser by a web server and stored on your device.

Most browsers are configured to accept cookies. Users may configure their browser to notify them whenever a cookie is received or to refuse cookies altogether. However, certain sections of our websites may not function properly if cookies are disabled.

Users should also be aware that personal information voluntarily disclosed through online communication channels, forums, email, FTP services, discussion groups or chat services may potentially be collected and used by unauthorized persons. Although Eventrium takes reasonable measures to protect users’ personal information, it cannot guarantee the security of information transmitted through inappropriate or unsecured channels.

Users are responsible for maintaining the confidentiality of information such as passwords and usernames associated with accounts created through our services.

Eventrium uses information collected from applicants in different ways depending on the type of information collected.

Information provided directly by users is used to personalize the services offered and to verify the applicant’s identity where necessary for the performance of contracts concluded between the applicant and Eventrium SRL through the use of our online services.

Information collected through server traffic reports helps us identify which sections of our websites are of greatest interest to users. Eventrium may also collect IP addresses for the secure administration of its IT systems and for the prevention of unlawful activities.

Information collected through cookies is used to improve the usability of our services and to obtain statistical information that enables us to improve those services.

The confidentiality and protection of information collected from applicants are of particular importance to us. Eventrium does not provide collected information to third parties without the applicant’s prior express consent. Any user traffic statistics provided to third-party advertising networks or partner websites are supplied only in aggregated form and do not contain personally identifiable information about individual users.

Access to certain services and information available through Eventrium websites may be password-protected. Users are advised not to disclose their passwords to anyone. Eventrium will never request users’ account passwords through unsolicited emails or telephone calls.

Users are also advised to close their browser window after completing their use of Eventrium websites or services, particularly when accessing them from a shared or public computer.

No transmission of data over the Internet can be guaranteed to be 100% secure. Although Eventrium makes every reasonable effort to protect personal information, it cannot fully guarantee the security of information transmitted to or from its online services. However, Eventrium undertakes to make every reasonable effort to protect such information within its systems in accordance with applicable security standards.

Except where otherwise permitted or required by law, Eventrium will not disclose personally identifiable information about its users to third parties without first obtaining their express consent.

Eventrium may disclose personally identifiable information where expressly required by law or where necessary to protect Eventrium’s legitimate rights and interests.

Where services are provided in partnership with another website or service provider and the sharing of personal information is necessary, users will be informed accordingly. Partner service providers may have their own privacy and data collection practices, over which Eventrium may not have control.

Where applicants create an account for one of our services, they may receive a confirmation email containing details of their new account and information on how to modify or delete their account data.

Sharing Information with Third Parties

Eventrium websites may use the services of advertising companies for advertising targeting, campaigns and other marketing communications. Such companies may collect anonymous data through cookies.

Where applicable, Eventrium will provide appropriate information regarding the privacy policies of its advertising partners.
